Frequently asked questions from admins managing Wellspring for their company.
How do I sign up my company?
If you don't yet have a Wellspring account, the fastest path is to book a 30-minute call. We'll create your company, send you admin credentials, and walk you through bulk-uploading your users.
How do I add or remove users?
Sign in to Vision Hub at https://visionhub.thewellspringapp.com:
- Add users: Users → New User (single) or Users → Bulk Upload (CSV)
- Remove users: Users → click the user → Disable Account
- Reset a user's password: Users → click the user → Resend Welcome Email
How do I create a challenge for my company?
In Vision Hub: Challenges → Create New Challenge. Pick the activity types, duration, and goal — the challenge will appear in every employee's app once it goes live.
How do I see who's actively using the app?
The Vision Hub Dashboard shows weekly active users, leaderboards, challenge participation, and category-level wellbeing trends. The Engagement → Analytics page drills into question-by-question response patterns.
A user wants their account deleted — what should I do?
Two options:
- Ask them to use Settings → Delete Account inside the app (preferred — it's self-serve and immediate).
- If they no longer have app access, forward their request to us at sam@thewellspringapp.com and we will process it directly. See our Account Deletion page for full details.
Where can I see billing and invoices?
Billing is managed offline at the moment — invoices are sent monthly to the contact email on your account. To update billing contact details, email sam@thewellspringapp.com.
I can't sign in to Vision Hub
Make sure you're using the email Wellspring is registered against. If you've forgotten your password, click "Forgot Password" on the sign-in screen. If the reset email doesn't arrive, check your spam folder, then email sam@thewellspringapp.com and we'll send you a fresh invite.

Frequently asked questions from employees using the Wellspring mobile app.
Where do I get my company code?
Your company code is provided by your employer's Wellspring admin. If you can't find it, ask your HR or wellbeing lead — they will have received it when your company set up Wellspring.
I didn't receive a welcome email
Check your spam folder first. If it's not there, ask your company admin to resend the welcome email — they can do this from Vision Hub in one click. Welcome emails come from noreply@thewellspringapp.com.
How do I reset my password?
Tap Forgot Password on the sign-in screen and we'll email you a reset link. The link expires after 1 hour. If you don't see the email, check spam and ensure the email address matches the one your employer registered.
Can I use Wellspring without sharing my location?
Yes. Location data is only captured when you start an outdoor GPS activity (a run, walk, cycle, etc.). For indoor activities, gym sessions, or non-activity features (gratitude journal, breathing exercises, daily questions), no location data is collected. You can deny location permission entirely and still use the app — outdoor GPS tracking just won't be available.
How do I connect Apple Health or Google Fit?
In the app: Settings → Connected Apps → toggle on Apple Health (iOS) or Health Connect (Android). You'll be asked to grant permission for workout data. Wellspring only reads workout records (activity type, duration, and distance where available) — we do not read steps or heart rate. We never write data back to Apple Health or Health Connect.
My activity isn't appearing on the leaderboard
Leaderboards update every few minutes, so give it a moment. If it still doesn't show up after 10 minutes:
- Confirm the activity was saved (Profile → Activity History)
- Check the leaderboard's time window (weekly leaderboards don't show activities from earlier weeks)
- Confirm your privacy settings allow you to appear on leaderboards (Settings → Privacy)
How do I delete my account?
In the app: Settings → Delete Account. See our Account Deletion page for the full process, including what data is removed and what is anonymised.
How do I export my data?
Email sam@thewellspringapp.com with the subject "Data Export Request". Under UK GDPR you have the right to receive a copy of your personal data in a machine-readable format. We respond to all requests within 30 days.
