1. Overview
You can request deletion of your Wellspring account at any time. This page explains:
- How to start a deletion request from inside the app
- How to start a deletion request by email (if you no longer have access to the app)
- What data is removed and what is retained
- How long the process takes
Wellspring is a corporate wellness platform. Your account is provided through your employer, so the deletion flow involves a brief admin review (see §5). Most requests complete automatically within 30 days.
2. How to Delete Your Account from the App
The fastest way to delete your account is from inside the Wellspring mobile app:
- Open the Wellspring app
- Tap your profile icon (top right)
- Tap Settings
- Scroll down and tap Delete Account
- Read the warning carefully, then tap Confirm
Your request is recorded immediately. You can also cancel a pending request from the same screen any time before it is approved.
3. How to Delete Your Account by Email
If you no longer have access to the app (for example, your phone is lost or the app has been uninstalled), email us at sam@thewellspringapp.com with:
- The subject line: Account Deletion Request
- Your full name as registered in Wellspring
- The email address you used to sign in
- The name of your employer (your company)
We will locate your account, confirm receipt within 5 working days, and process the deletion as described in §4–§5 below.
Why we need these details: Wellspring accounts are scoped to your employer, so we use your name, email, and company to identify the right record. Without this information we cannot action the request.
4. What Is Deleted
When your deletion is approved, we permanently remove the following:
- Your Firebase Authentication account (sign-in credentials)
- Your profile picture and any other images you uploaded
- The ability to sign in to the Wellspring app
We anonymise (rather than hard-delete) the following because your contributions are tied to shared records that other users still rely on:
- Your activity history (runs, walks, gym sessions, etc.) — kept for company-wide leaderboards but no longer linked to you
- Your gratitude journal and reflection entries — your personal entries are removed; aggregated, anonymised counts are retained
- Your contributions to community feeds (comments, posts) — the content remains but the author is shown as "Former Member"
- Audit logs required for security and legal compliance
After anonymisation, the data cannot be re-identified to you and is treated as anonymous data under UK GDPR.
5. Timeline

If your company admin approves the request earlier, the deletion will happen sooner — typically within 24 hours.
You will receive a confirmation email once the deletion is complete.
6. What Happens to Backups
Backups of our production database are retained for 35 days for disaster-recovery purposes. After 35 days from the deletion date, all traces of your personal data are removed from backups too.
7. Cancelling a Request
You can cancel a pending deletion request at any time before it is approved:
- From the app: Settings → Delete Account → Cancel Request
- By email: Reply to the confirmation email we sent you with the word "Cancel"
Once a request is approved and your account is removed, the action is irreversible.
